FLIGHT COORDINATOR
Job Summary: To help to achieve the Firm’s objective of providing first class client services by ensuring the availability of the correct products in the necessary quality and quantities at the right time
Duties & responsibilities
1.) Administration
• To control that all the daily activities / issues like Pick up times, shift reports, handling report, uplifts are recorded and mailed to the respective departments
• Ensure at all times that all phone calls are answered in a polite & professional manner and diverted to the correct departments
• Coordinate and assist in clearing carries shipment and keeps customs documentation in place
• Updating of any service materials or client related document changes/ amendments
• Control that all employees are instructed about their correct work place and the internal Health & Safety and Security standards
• Responsible for cross communication among other departments to ensure smooth running of tray-set / dispatch operation
• Ensure correct shift handover and reporting procedure
2.) Logistics
• Responsible for the equipment management and to ensure stock levels are maintained and any issues are addressed to the customer
• Control correct handling of internal ordering system by respecting FIFO
• Advise all departments concerned/ immediate line managers in case of shortage or emergency
• Conduct and secure final monthly inventory control
3.) Operation
• Familiar with the carrier specifications, standard operational procedures (SOP’s) of the carrier
• Ensure on time delivery of the flights to the customer
• Coordinate the timing of the work flow together with tray-setting and food production
• Identify problems within the dispatch / tray-setting area and prepare an action plan and implementation in consultation with Operations Manager
• Responsible for dispatch of meals on time
• Making sure all the tray-set processes are clearly adhered to
• Responsible for training and instructing staff accordingly
• Responsible for cross communication among other departments to ensure smooth running of tray-set / dispatch operation
• Will be responsible for the staff evacuation in emergency situation and inform direct line managers
4.) Customer service
• Provide at all times professional customer services and establish strong relationships with cabin crew members, airport station and other people involved
• Assist and support as direct contact the carriers regional catering manager in regards to unit
• Responsible for all in-flight service related communication with customer and to implement any service changes in consultation with QA department, Operations Mgr, Unit Mgr in regards to:
a) Customer complaints
b) Emergency requests
c) Cabin crew comments/ catering reports
• Responsible for carrying out daily briefings of all tray-setting staff before the shift starts
• Ensure correct work load distribution prior to work start amongst staff by distributing tasks accordingly
• Responsible for the overall staffing levels and working hours of the department
5.) Employee relations
• Train and instruct people according to customer SOP, changes
• Communicate agency staffing needs to Operations Manager well in advance to guarantee smooth operation running
• Will be responsible for scheduling / staff roaster within the budgeted hours
• Responsible for the reporting of sickness / absence to HR
• Any staff concerns / grievances must be reported to the line manager and HR
• Responsible for the performance assessment / review of the tray-setting staff in consultation with Assembly Manager/ Operations Manager
6.) Health & Safety procedures
• Control of all the working areas to ensure the requirements of hygiene, quality and safety are met
• Control and lock all the storage areas as per internal security requirements
• To ensure that staff is wearing health and safety clothing and jewellery policy is adhered to in production area
• Responsible for maintaining all work areas in a clean and presentable state
• Will be responsible for the accident reporting

• Ability to work independently in a fast paced environment
• HACCP knowledge
• Proactive, flexible attitude, team approach and interest in the substance of companies work
• High level of presentation in work and appearance
• Good understanding of leadership management
• Good knowledge of food products and respective quality standards
• Enthusiastic, pro-active, dedicated, hard working and a hands-on approach
Credentials & Experience
• Associated Manager working experience
• Min. of 2 years related experience in a similar role in food industry manufacturing sites or
• Equivalent combination of education and experience
